Instructions to the Authors

1- Final paper submission

If you have received a notification of acceptance email from the TPC co-chairs, please use these instructions to prepare your final camera-ready paper taking into consideration the reviewers’ comments.

Please note that:

  • IEEE reserves the right to exclude a paper from distribution after the conference (e.g., removal from IEEE Xplore) if the paper is not presented at the conference.
  • Papers are reviewed on the basis that they do not contain plagiarized material and have not been submitted to any other conference at the same time (double submission). These matters are taken very seriously and the IEEE Communications Society will take action against any author who has been engaged in either practice. Please see the IEEE Web Page on Plagiarism and the IEEE Web Page on Double Submission.

Papers can be of three types (Full and Short, and Demo):

  1. Full papers up to a maximum of nine (9) printed pages (in Two-Column IEEE Conference Format), including text, figures, and references. 
  2. Short papers up to five (5) pages (in Two-Column IEEE Conference Format), including text, figures, and references.
  3. Demo Papers up to three (3) pages (in Two-Column IEEE Conference Format), including text, figures, and references.

Full Papers accepted as short papers will be required to be reduced to 5-pages in length.

Please address all reviewers’ comments and revise your paper accordingly before submitting your camera-ready version. Also, make sure that all your figures are of high quality (preferably in .eps format) and their content is easily readable.

Moreover, kindly, make sure also that your paper contains no headers and no page numbers. This information will be added by the editors. Furthermore, thoroughly, proofread your source document to confirm that it will require no further revision.


2 – Guidelines for the final manuscript of Full, Short papers

  1. All submissions must be written in English, with a minimum of 10-point font and must follow the IEEE two-column page format, which is available at: https://www.ieee.org/conferences_events/conferences/publishing/templates.html
  2. If you are using LaTeX, you may use the following code as the first line in your LaTeX source file: \documentclass[10pt, conference]{IEEEtran}
  3. Footers might be used but not encouraged. It shall follow the IEEE format specifications as their template does use them. Please do NOT include any page number on the final PDF manuscript.
  4. Make sure that the title/author list in EDAS is EXACTLY as in your final camera-ready paper. No change in authors is allowed once the paper is accepted.
  5. Include the copyright notice at the bottom of the first column as instructed in section 3.
  6. Complete the Electronic copyright form that you will receive shortly from IEEE as elaborated in section 4.
  7. Use IEEE PDF eXpress to check Xplore compatibility, and generate your PDF compliant version. See section 5 for details. This is a mandatory step. Non-compliance might result in NOT having your paper published in the IEEE Xplore.
  8. Upload to EDAS the PDF eXpress-passed camera-ready version of your paper.
  9. Please note that the deadline for the camera-ready is September 10. Please refer to EDAS for the exact deadline in your time zone to make sure that you abide by the stipulated deadline.

3 – Copyright clearance code

The appropriate copyright clearance code notice should appear at the bottom of the first page of each paper per the guidelines set forth in the Cataloging / Copyright Instructions for an IEEE Conference Proceeding. Detailed instructions can be found at:

  • For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 978-1-6654-0722-9/21/$31.00 ©2021 Crown
  • For papers in which all authors are employed by the European Union, the copyright notice is: 978-1-6654-0722-9/21/$31.00 ©2021 European Union
  • For all other papers the copyright notice is: 978-1-6654-0722-9/21/$31.00 ©2021 IEEE

You may want to first prepare your pdf and then add the IEEE copyright notice separately using a pdf editing program. You can then re-print the document in pdf format and then validate it using IEEE PDF eXpress.

If you are preparing your paper in LaTeX and you are using the IEEEtran document class, below LATEX code may help:

  • Add the following code before the \maketitle command:
    \IEEEoverridecommandlockouts
    \IEEEpubid{\makebox[\columnwidth]{978-1-6654-0722-9/21/\$31.00~\copyright2021 IEEE \hfill} \hspace{\columnsep}\makebox[\columnwidth]{ }}
  • Add the following code after the \maketitle command:
    \IEEEpubidadjcol
  • Make sure you use the appropriate IEEE copyright notice string, as explained above.

MS Word users can use: ‘Insert’ → ‘Text box’, insert the appropriate copyright notice in the textbox, and place the box (without border) at the bottom left on the first page.


4 – IEEE e-copyright form

Authors of accepted papers must complete the IEEE eCopyright Form (eCF) before the deadline for the camera-ready. One copyright form signed by the corresponding author is required for each accepted paper. You should receive an invitation from IEEE to sign the eCF. Once electronically signed on the IEEE interface, please download a copy of it onto your computer. You may re-upload it to EDAS for archiving purposes.

This can be done by:

Going to (http://edas.info) and selecting the “My Papers” tab, then under the paper title, clicking on the “+” sign corresponding to the “copyright form” field to upload your signed eCF.


5 – IEEE PDF eXpress

5.1 Validate your PDF in PDF eXpress

The final paper must be converted into PDF with settings compliant with the requirements of the IEEE Xplore digital library. To this purpose, the IEEE PDF eXpress plus web tool should be used. PDF files generated in a different way might not be IEEE Xplore-compliant and could be problematic. All PDFs to be included in IEEE Xplore® should be validated through PDF eXpress for an assured Xplore compatibility.

The instructions to generate an IEEE-Xplore-compatible PDF file using the IEEE PDF eXpress PLUS web tool are listed below.

  • Create an IEEE PDF eXpress plus account using the following conference ID.
  • The first time you access IEEE PDF eXpress plus, please follow the link to “New Users – Clickhere”. Enter the following:
  • 52717X for the Conference ID
  • your email address
  • a password

Continue to enter information as prompted.

Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used in previous conferences. Verify that your contact information is valid.

  • After logging in, create a new title and enter the exact title of your paper. Then, upload the source files of your camera-ready paper for conversion (e.g. DOC, DOCX, TEX and so on). Alternatively, if your PDF is ready, you can also just check the compliance of your generated PDF file.
  • After a few minutes, you will receive the IEEE-Xplore-compatible PDF version of your paper by e-mail. This is the PDF version that you will use to upload your camera ready to EDAS.

5.2  Contacting PDF eXpress Support

If you have some doubts on the PDF eXpress process, please:

  • Access the Publications Support Center for IEEE PDF eXpress at https://supportcenter.ieee.org/app/answers/list/p/12
  • If you do not find an answer in the Find Answers tab, go to the Ask a Question tab.
